1. Introduction
Hanité Inc. (“we,” “our,” or “us”) is committed to protecting the privacy of our clients. This Privacy Policy explains how we collect, use, disclose, and safeguard personal and organizational information when you use our mentoring, consulting, and coaching services.
We comply with the Personal Information Protection and Electronic Documents Act (PIPEDA), Alberta’s Personal Information Protection Act (PIPA), and other applicable federal and provincial privacy laws.
2. Information We Collect
For Individual Clients (B2C)
- Contact information: name, email address, phone number.
- Booking details: service requested, session times, payment method.
- Payment information: full payment is required at the time of booking. Payments are processed securely through third‑party providers (Stripe, PayPal, Interac e‑Transfer). We do not store credit card details.
- Session notes: limited notes for internal use to support continuity of service.
- Voluntary information: details you choose to share during sessions.
For Organizational and Government Clients (B2B/B2G)
- Business contact information: names, titles, work emails, and phone numbers of employees or representatives.
- Organizational data: information necessary to deliver contracted services (e.g., training needs, project requirements, or reports).
- Contractual information: invoicing details, payment terms, and communications related to service delivery.
3. How We Use Your Information
- Scheduling and delivering mentoring, consulting, and coaching sessions.
- Processing upfront payments securely at the time of booking for individual clients.
- Communicating about bookings, cancellations, or follow‑ups.
- Providing a First Meeting (complimentary 15‑minute session) to ensure needs are understood and to confirm whether free or publicly funded services may be available.
- At our discretion, informing clients of free or publicly funded services that may meet their needs.
- For organizational/government clients: fulfilling contractual obligations, delivering agreed services, and maintaining professional communications.
4. Client Responsibility for Alternatives
Clients are encouraged to explore free or publicly funded services that may meet their needs.
Hanité Inc. may, where reasonably possible, inform or redirect clients to such services.
However, Hanité Inc., its consultants, and representatives are not responsible for identifying, maintaining an exhaustive list of, or guaranteeing awareness of all free or publicly funded services available in a client’s area.
Clients acknowledge that it is ultimately their responsibility to determine whether to pursue such alternatives.
5. Sharing of Information
We do not sell, rent, or trade your information. We may share information only in the following circumstances:
- With third‑party payment processors (Stripe, PayPal, Interac) for secure upfront payment transactions.
- With subcontractors or consultants engaged to deliver services under a B2B/B2G contract, bound by confidentiality obligations.
- When required by law or legal process.
- If there is a risk of harm to yourself or others.
6. Data Retention
- For individual clients: records, including booking and payment confirmations, are retained only as long as necessary to provide services, comply with legal obligations, or resolve disputes.
- For organizational/government clients: records are retained for the duration of the contract and as required by law or contractual obligations.
7. Security
We take reasonable measures to protect information against unauthorized access, use, or disclosure. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Your Rights
- Individual clients: You have the right to access, correct, or withdraw consent for your personal information (subject to legal or contractual restrictions).
- Organizational/government clients: Requests regarding business contact information or organizational data will be handled in accordance with the terms of the service contract and applicable law.
9. Changes to This Policy
We may update this Privacy Policy from time to time. Continued use of our services after updates constitutes acceptance of the revised Policy.
